Your 2020 Lighting Spec Sheet Is Obsolete: A Facilities Buyer's Argument

Most facility buyers still treat lighting as a line item. That is the mistake. In 2025, lighting procurement is not about buying fixtures; it is about buying verified specs, install compatibility, and maintenance data. If your approved vendor list still starts with 'Who has the lowest unit price?' you are already behind.

I am an office administrator for a 240-person company. I manage facilities and lighting orders—roughly $180,000 annually across 12 vendors. I report to operations and finance. When I took over purchasing in 2020, I thought my job was to compare unit costs and check that the box arrived. Five years later, I know better.

Argument 1: A brand name is not a spec sheet

Minka Lavery (minka-lavery) is a useful example because the catalog is wide—rustic, dome, sphere, organic, bath, outdoor. But a recognizable name does not answer the questions that actually cause rework. For a minka lavery outdoor light, I still need to verify wet-location rating, finish warranty, voltage, dimming compatibility, and replacement parts. We learned this the dumb way. I said 'warm white.' They heard 'soft white.' Result: a lobby with two different color temperatures. Finance did not care that the fixtures were attractive. They cared that we had to pay a second electrician visit. Now I require a one-page spec verification before any purchase order.

The same applies to downlight fixtures. In 2020, we bought by trim size and wattage. In 2025, that is not enough. You need to confirm aperture, beam angle, CRI, IC rating, and whether the driver is serviceable. If the driver is sealed and fails in year three, your cheap fixture becomes an expensive ceiling cut.

Argument 2: Install labor is now the bigger risk

Five years ago, many of us treated installation as a fixed cost. That is no longer true. Labor rates moved. Downtime matters more. A fixture that saves $40 but takes an extra hour to install can lose money before the first utility bill arrives.

Take any request to install chandelier fixtures in a lobby or stairwell. The real questions are not about style. They are: What does the fixture weigh? Is the junction box rated for it? Is the ceiling sloped? Does the dimmer work with the LED driver? We once specified a 42-pound chandelier for a box rated at 35 pounds. It took about three weeks—or rather, closer to four when you count the backorder—to fix the mounting and inspection. The fixture was fine. Our process was not.

That is why I now ask for a pre-install sheet on every project. It includes fixture weight, canopy dimensions, driver location, dimmer model, and access clearance. It feels like overkill until it saves a second crew visit.

Argument 3: Consumer lighting advice does not translate to facilities

Here is the counterintuitive part. The fastest way to spot an outdated lighting process is to listen to the questions people ask. Last month, our facilities team asked, 'how close should my grow light be to my plants?' for the lobby planters. The old answer was a fixed number of inches. The better answer is: it depends on PPFD, photoperiod, plant type, and heat output. A 2020 blog post may tell you 12 inches. A 2025 LED may need 18 inches or 6 inches depending on the driver and coverage.

If you have ever used a rule of thumb that failed after a product update, you know the feeling. The fundamentals have not changed—plants need light. But the execution has transformed. The same is true for architectural lighting. A specification that worked for halogen or fluorescent does not automatically work for LED.

So when someone asks me for a simple answer, I give them the honest one: start with the fixture data, not the internet rule. For grow lights, measure. For downlight fixtures, check the photometry. For outdoor wall lights, confirm the wet rating and finish. The answer changes when the technology changes.

But isn't this too much process for a light fixture?

Yes, it can feel excessive. I went back and forth between the incumbent vendor and a Minka Lavery line for two weeks. The incumbent offered faster reorders. Minka offered better finish options for a coastal-facing outdoor run. Ultimately I chose Minka for that project because finish durability mattered more than reorder speed. That does not mean Minka Lavery is right for every job. No brand is.

I have also heard the argument that you should just buy the cheapest fixture and replace it when it fails. For a closet, maybe. For a 24-foot lobby ceiling, no. The labor to replace a failed fixture can be five to ten times the fixture cost. That math changed the way I buy.

One more caveat: do not trust vague energy or environmental claims without backup. Per FTC Green Guides (ftc.gov), environmental claims like 'energy-saving' must be substantiated. That matters when a vendor promises a payback period without giving you wattage, operating hours, and controls assumptions.

The fundamentals did not change. The execution did.

Bottom line: you still need good light, safe installation, and a supplier who answers the phone. But what was best practice in 2020 may not apply in 2025. Your spec sheet should now include verified model numbers, dimming compatibility, serviceable drivers, and an install checklist. It should say who checks the trim, who confirms the junction box, and who owns the warranty claim.

This was accurate as of Q1 2025. LED drivers, tariffs, and availability change fast, so verify current specs and lead times before you budget. My experience is based on about 200 mid-range lighting orders for offices, clinics, and a couple of hospitality spaces. If you are specifying luxury custom chandeliers or industrial high-bay, your experience might differ.

If you are updating a lighting vendor list this year, do not start with the catalog. Start with the questions that caused your last rework. That is the part of the industry that actually evolved.
